Microsoft 365 Copilot for Business: What It Is, What It Does, and Is It Worth It?

Microsoft 365 Copilot is Microsoft's AI assistant embedded directly into Word, Excel, PowerPoint, Outlook, and Teams. It uses OpenAI's large language models combined with your own business data to help you write faster, summarise meetings, analyse data, and create presentations.

What Copilot Can Actually Do

  • In Word: Draft documents from a prompt, rewrite or summarise existing content, generate outlines
  • In Excel: Analyse data, suggest formulas, generate charts from natural language questions ("show me sales by region last quarter")
  • In PowerPoint: Generate entire presentations from a Word document or a text prompt
  • In Outlook: Summarise long email threads, draft replies, flag action items
  • In Teams: Summarise meeting transcripts, list decisions and action items, answer questions about what was discussed

What Copilot Cannot Do

Copilot is not a replacement for human judgment. It makes mistakes, can hallucinate facts, and should never be used to produce compliance documents, legal agreements, or financial statements without human review. It also requires your Microsoft 365 tenant to have Semantic Index enabled and works best when your SharePoint and OneDrive content is well-organised.

Licensing and Cost

Copilot is a paid add-on at approximately $30 USD per user per month, on top of your existing Microsoft 365 licence. It requires Business Standard, Business Premium, or an Enterprise plan.

Is It Worth It for a Small Business?

For most small businesses right now, Copilot delivers the most value for roles that spend significant time writing documents, preparing reports, or sitting in meetings. If your team has two or three people in that category, the productivity gain can justify the cost. For purely operational roles, the return is less clear.

Our recommendation: start with a three-user pilot for 90 days, measure the time saved, then decide on a broader rollout.
