The Decoding IT Way

Our Process

From Consultation
to Support.

We don't hand you a solution on day one. We earn the right to propose one — then deliver it with structure, and stay accountable long after go-live.

How We Work

From first conversation to
results you can see.

Whether you’re running IT day-to-day with us or delivering a specific project, here’s exactly how we work.

01
Week 1–2

Onboard

We set up your portal, meet your team and document your full IT environment before anything else moves.

  • Portal access configured
  • Asset inventory documented
  • Named account manager assigned
02
Month 1

Stabilise

We resolve immediate issues, close security gaps and establish a clean IT health baseline.

  • Critical issues resolved
  • Security baseline established
  • 24/7 monitoring activated
03
Month 2–3

Optimise

With the basics solid, we move to proactive improvements — performance, resilience and roadmap planning.

  • Proactive recommendations actioned
  • 12-month IT roadmap agreed
  • First formal review meeting
04
Ongoing

Run & Evolve

Continuous monitoring, helpdesk support and monthly reports — all tracked inside your MyIT Portal.

  • 24/7 monitoring & alerts
  • Monthly IT health reports
  • Quarterly strategy reviews
01
Week 1

Discover

We understand your goals, constraints and current state before drawing up a single line of design.

  • Requirements workshop
  • Current state assessment
  • Stakeholder alignment
02
Week 2–3

Design

We produce a detailed solution design, timeline and fixed scope — reviewed and agreed before work begins.

  • Solution architecture documented
  • Project plan & milestones agreed
  • Proposal signed off
03
Project duration

Build & Test

We implement, test thoroughly and train your team — tracked in your portal from first task to final sign-off.

  • Phased implementation
  • User acceptance testing
  • Team training & handover
04
Post-delivery

Hand Over

Full documentation, formal sign-off and a structured support period so nothing falls through the cracks.

  • Full technical documentation
  • Warranty & support period
  • Option to move to managed services
01 Consultation

We understand the problem before we propose a solution.

Our pre-sales process is led by certified engineers, not account managers. Before any recommendation is made, we spend time understanding your environment, your constraints, and what you're actually trying to achieve.

Discovery & Needs Assessment
A structured conversation about your current environment, pain points, and business goals — no assumptions, no pre-packaged answers.
Infrastructure Audit
Our engineers review your existing setup before recommending anything. We document what you have, what's at risk, and where the gaps are.
Vendor-Neutral Design
We design to the requirement, not the margin. Our recommendations reflect what best fits your environment — regardless of which vendor it favours.
Scope-Bound Proposal
Every proposal states clear scope, explicit exclusions, delivery milestones, and commercial terms. No surprises after you sign.
02 Implementation

Structured delivery. No scope surprises, no silent changes.

Every implementation is run as a formal project with a named manager, milestone-based plan, and documented sign-off. You know what's being built, who's building it, and when it's done.

Milestone-Based Project Plan
Every project starts with a documented scope, defined objectives, deliverables, and a scheduled plan. From day one, you know what will be delivered and when.
Dedicated Project Manager
You have a named PM who coordinates the implementation team, manages vendors, and is your single point of contact throughout delivery.
Risk & Change Register
Risks tracked with probability, impact, and mitigation plans. Any scope change goes through a formal written approval — no silent additions to delivery.
Regular Status Reports
Structured status emails to your nominated contacts covering completed milestones, upcoming work, progress against plan, and open risks.
Team & Role Accountability
Every project member carries a defined role. Task assignments, time logs, and internal notes give full visibility into who did what and when.
Digital Client Sign-Off
Before we close any project, you formally review the deliverables and sign off digitally. Scope delivered, acceptance recorded, closure documented.
03 Support

Helpdesk that holds itself accountable — without you chasing.

After go-live, every issue is logged, tracked, and bound by a response SLA. Escalation happens automatically when thresholds are approached. You have full visibility at every step.

Dedicated MyIT Portal
Submit, track, and update tickets from your own portal. Every ticket is logged, assigned, and visible — nothing sits in someone's inbox.
SLA-Backed Response Times
Every ticket carries a response and resolution SLA based on priority. Breach the threshold and the system automatically escalates — before you need to ask.
Smart Auto-Assignment
Tickets are routed to the right engineer automatically based on issue type, service, and department. No queuing at a generic inbox while the right person waits.
Full Audit Trail
Every action, reply, and status change on every ticket is logged with timestamps. You always know exactly what happened, who did it, and when.

01 Our Vision

Enterprise-grade IT, whatever size you are.

Our founders started Decoding IT on a simple conviction: the discipline that large enterprises take for granted — documented environments, tested backups, monitored endpoints, response times someone is accountable for — should not be a privilege of scale. Most smaller organisations are not offered it because it is harder to deliver profitably, not because they need it less.

The same standard, not a cut-down one
A twenty-user company gets the same monitoring, patching and backup verification as a five-hundred-user one. What changes is the volume of work, not the standard it is held to.
Engineers, not a call centre
The people who scope your environment are the people who run it. There is no handover from a sales team to a delivery team that has never seen your estate.
Built to grow with you
Moving from a few hours a month to a fully managed estate is a change of plan, not a change of provider. The documentation, history and tooling carry over.
Written down, not held in one head
Your environment is documented as we work on it, so the service does not depend on which engineer picks up the call — and so you own a record of your own estate.
02 The Plans

A plan for every size, and every level of in-house IT.

There is no single right answer for an organisation with no IT staff, one with a capable first line that needs depth behind it, and one that needs a named specialist for a particular technology. So we built a plan for each, and you can move between them as you change.

Support drawn from a monthly bank of hours. Unlimited tickets — you are billed for engineer time, not for asking. For smaller estates with occasional needs.
L2 and L3 depth behind your own first line. Hours are redeemable against project work too, so nothing is wasted in a quiet month.
Your complete IT department as one plan. Unlimited remote support, billed per device. For organisations with no in-house IT, or none they want to keep growing.
Managed security as its own layer — Protect if support is already covered, or Total Care when the same team should own protection and day-to-day support together.
Senior engineering behind the technologies you nominate — servers, network, firewall, Citrix, virtual desktop. Unlimited incidents per area.
Gap assessment and advisory for infrastructure, security, risk and compliance. Not a support plan — the one to start with when a change is big enough to need planning first.
03 Transparency

You should not have to ask us what we did.

Managed services fail on visibility more often than on capability. We built MyIT Portal so that everything we do on your behalf is visible without a phone call — every ticket, project, asset, report, contract and invoice, in one place, at any hour.

Every ticket, start to finish
Raise it, watch it get assigned, read every reply and status change with timestamps, then rate the outcome. Nothing sits invisibly in an inbox.
Reports you did not have to request
Monitoring and assessment reports, backup and patch status per device, published as they are produced rather than assembled when you chase.
The commercial side too
Contracts, proposals, orders, delivery notes, invoices and renewal dates — the same place as the technical record, so nothing about the relationship is hidden.
Your assets, not our spreadsheet
The devices we look after, with their warranty and licence renewal dates, listed where you can see them — useful long before the renewal is a surprise.
